Vagaro Alternative for Barbershops: What the Bundle Actually Costs

Written for US barbershop owners. Vagaro figures checked 2026-08-08 against Vagaro's own pricing page and the third-party pricing guides listed at the bottom. Vagaro runs promotional base pricing and changes its add-on catalogue regularly; check their site before you decide.
The short version
Vagaro is a bundle. The subscription is cheap on the way in, the calendar fee stops growing after seven staff — which is genuinely the best per-head deal in this category — and then most of the things a shop actually wants are separate monthly add-ons.
Dokani is the opposite shape: one price, once, for the whole product, and it keeps running when the internet doesn't.
If you're a large shop that wants everything under one login and doesn't mind a stack of subscriptions, Vagaro has a real argument. If you want to know what you'll be paying in year three without a spreadsheet, keep reading.
1. Vagaro's calendar cap is the fairest pricing in the category
Credit where it's due, because this is the one place Vagaro beats Booksy, Fresha and Square outright.
The base is $30/month for one location and one bookable calendar (currently promoted at $23.99). Calendars two through seven are $10/month each. From the eighth calendar onward, they're free.
That means the bill stops growing exactly where the other platforms' bills accelerate:

A 12-chair shop pays Vagaro the same as an 8-chair shop. Nobody else in this comparison does that. If you're running a big room, take that seriously.
2. Then you add the bundle back on
The base subscription is where the number stays small. The catalogue is where it doesn't:

A three-chair shop that wants text marketing, intake forms and a booking website is at $50 + $20 + $10 + $20 = $100/month — $1,200/year, every year. Add payroll for three barbers and it's $1,788/year.

3. Card processing: read the volume tiers
Vagaro's rate depends on how much you run:
- Under $4,000/month: 2.6% + $0.10 card-present (plus $0.06 for tap), 3.5% + $0.19 keyed
- Over $4,000/month: 2.29% + $0.19 card-present, plus a $10/month fee
That's a fair structure, and the large-merchant rate is competitive. Two things to notice: a shop hovering near $4,000/month should do the arithmetic on which side of the line it wants to be, and the free card reader is real — Vagaro ships one with the subscription.

4. What happens when the internet goes down
Vagaro is a cloud platform with mobile apps. Calendar, client records and checkout live on Vagaro's servers, so a dead router on a Saturday morning is an operational problem rather than an annoyance.
Dokani is offline-first by design. Sales, the walk-in queue, the appointment calendar, inventory, staff PIN logins, commission calculation and thermal receipt printing all run with no internet at all, indefinitely — no sync deadline, no unsynced transactions that expire. Cloud sync is an option on Pro+, not the ground the shop stands on.
5. The barbershop features, specifically
Vagaro is built for salons, spas, and fitness studios — memberships, classes, packages, resources. That breadth is real, and some of it is genuinely useful to a barbershop. Some of it is weight you carry without using.
Where Dokani is built for the chair:
- Booth rent. A rent roll showing who owes, who's paid, and what's outstanding this period, sitting next to each renter's sales. Salon-and-spa platforms model employees and commission stylists; the booth-rent shop is the awkward case.
- A real walk-in queue. Check-in, wait times, barber requests, a printed numbered ticket from a thermal printer, then "complete & checkout" straight into a paid sale. Barbershops are half appointments and half whoever walks in.
- Commission at the line, not the ticket. Split tickets and retail attachment come out right without anyone correcting them afterwards, plus batch payouts in one action.
- 7 roles and 85+ permissions with per-barber PIN login. A booth renter sees their own numbers; a cashier can't void yesterday's sales.
- US tax work included, not an add-on: per-employee tips for W-2s, sales tax by jurisdiction, expenses mapped to Schedule C, a close-the-books lock, and an Accountant Pack that exports QuickBooks/Xero-ready CSV — where Vagaro bills $10/month for QuickBooks sync and $30/month for Xero. - Inventory that exists: unlimited products, barcode scanning, stock levels, suppliers and purchase orders.
Where Vagaro is genuinely better:
- The calendar cap. For a shop with ten or more chairs, nobody else prices like this.
- The marketplace and consumer booking app. Dokani has no marketplace — our booking page is a link you send. If discovery is your problem, we don't solve it.
- It processes the in-person card today, with a free reader in the box.
- iPhone and iPad. Dokani is Windows and Android only.
- Breadth — payroll, memberships, packages, classes, a branded app. If you want all of it in one login and you'll actually use it, that has value the à-la-carte pricing partly earns back.
- A 30-day free trial, which is long enough to find out for real.
Who should pick which
Pick Vagaro if: you have eight or more chairs and the calendar cap saves you real money; you want payroll, memberships and marketing under one login; you need the marketplace for discovery; or you run on iPhone/iPad.
Pick Dokani if: you have two to seven chairs and don't want a bill that grows with hires and with features; you rent booths; your internet is unreliable; you want loyalty, gift cards, reminders, inventory and US tax work without a single add-on line; or you want your client list on your own machine rather than on a platform whose add-on catalogue is theirs to reprice.
Running both is reasonable. Keep Vagaro for discovery and card processing, and run the shop floor — queue, staff, commissions, booth rent, inventory, books — in Dokani.
